Role Purpose

The Team Member – CQA Business Administration supports the Corporate Quality Assurance function by managing administrative tasks, coordinating quality system activities, handling data and document organization, and assisting in the execution and monitoring of corporate-level quality initiatives. This role ensures that the day-to-day business and documentation needs of the CQA function are met in a timely, compliant, and efficient manner. The position plays a vital role in enabling smooth operations within the corporate QA team and supporting cross-functional quality activities across global or site-based teams.

Job Responsibility and key Decisions

Administrative Business Support

Provide administrative assistance to the CQA team, including scheduling, coordination, and logistical support.

Maintain calendars, followup trackers, and databases related to quality initiatives.

Quality System Coordination

Support data collection, analysis, and reporting for CQAled quality systems e.g., CAPA tracking, audit schedules, training compliance.

Maintain records of quality system performance indicators KPIs and generate reports for management review.

Document Management

Assist in the creation, formatting, revision, and distribution of SOPs, policies, and other controlled documents.

Support document issuance, archival, and retrieval in line with data integrity principles.

Audit Inspection Readiness Support

Assist in the preparation and coordination of internal and external audits by ensuring documentation readiness and logistics support.

Track audit observations and follow up on closure timelines with relevant teams.

Training Support

Coordinate training programs, maintain training records, and assist in tracking training compliance metrics for CQA and related teams.

CrossFunctional Coordination

Act as a liaison between CQA and site QA teams to gather data and status updates on global quality programs.

Assist in compiling data for management presentations and corporate dashboards.

Identifying and escalating delays in document reviews, training compliance, or audit observation closures.

Recommending process improvements for documentation flow, meeting coordination, or tracking systems.

Prioritizing administrative tasks based on business needs and deadlines.
